CANCELLATION POLICY AND PAYMENT TERMS AND CONDITIONS

Delegates unable to attend a meeting they have registered to attend must inform the ICS by email to events@ics.ac.uk. Phone cancellations will not be considered. Please note: registration and payment are non-transferrable.

If a delegate cancels and requests a refund, there will be a charge.

If a delegate cancels and requests a refund, the following charges will apply:

More than 3 weeks prior to the start of the meeting – £5 admin charge will apply

3 weeks prior to the meeting – 50% registration fee charges apply

2 weeks prior to the meeting – 75% registration fee charges apply

1 week prior to the start of the meeting -100% registration fee charges apply

In extenuating circumstances requests will be submitted to the Head of Secretariat for consideration. If cancellation is due to a medical matter, a copy of the medical certificate must be submitted.

Registrations and payments are non-transferable.

Where the delegate’s Trust/Hospital will be paying the fee it is the delegate’s responsibility to return this form and ensure the ICS receives payment from the Trust/Hospital. Payment must be received by the date of the meeting, or the delegate will be held responsible for payment via cheque or credit/debit card on the day of the meeting.

Debtors who have registered for the meeting and do not attend are nonetheless required to make full payment of the outstanding meeting fees. Non-payment may result in future attendance penalties at ICS events. Please ensure you notify the ICS offices as soon as you are able to do so, note the cancellation policy, which will apply to non attendance.

 

Overseas visa application

Delegates who require a visa to attend an ICS meeting are requested to register and pay for the meeting in full before a letter confirming registration will be issued.This will include an application and payment for membership if the delegate wishes to pay the reduced member rate to attend the event.Upon receipt of registration and full payment, a letter confirming registration will be issued to the delegate as evidence of registration.If the visa application is unsuccessful, a copy of the unsuccessful notification must be sent to the ICS together with a request for a refund which will be honoured in full.

 

Cancellation of an ICS meeting

The Society reserves the right to cancel or change the date of an event due to unforeseeable circumstances, but endeavors to make every effort to ensure an event runs as planned and scheduled.
